Full-time position with the Neighborhoods & Community Services Department - Administrative Services Division

Pay Starting at: $20.88 per hour

Work Location: 414 E 12th St

Schedule: Monday–Friday, 8:00 a.m.–5:00 p.m.

Responsibilities

What you’ll do

Process NTDF grant contracts, including supporting vendors with contract paperwork requirements, reviewing and approving advance payments, reviewing and approving final report invoices, and coaching and training vendors on allowable costs and document submission requirements to ensure compliance and timely payments.

Manage event tickets obtained from NTDF grant contracts, including tracking and distributing tickets to NTDF Committee members and NTDF staff for event audits to support grant oversight and accountability.

Assist with grant audit documentation and record keeping by maintaining organized, accurate records that support internal and external audit requirements.

Support the NTDF Manager and NTDF Committee by taking detailed meeting minutes, coordinating meals for all-day meetings, scouting and reserving meeting locations, setting up and tearing down meetings, and supporting meeting technology needs to ensure productive and accessible meetings.

Support the NTDF Manager with NTDF Portal updates by identifying needed updates, testing portal enhancements, and rereviewing and assisting with delivering training for NTDF potential applicants, applicants, and awardees to improve usability and understanding of the program.

Provide NTDF program support through neighborhood and community presentations, tabling at awarded NTDF events when requested (including setup and tear down), and providing customer support via email, phone calls, and weekly office hours.

What success looks like

Grant contracts, payments, and invoices are processed accurately, on time, and in compliance with program requirements.

Vendors clearly understand allowable costs and documentation expectations, resulting in fewer errors and resubmissions.

NTDF Committee meetings run smoothly, are well-documented, and fully supported logistically and technically.

NTDF Portal updates and trainings improve applicant and awardee understanding and reduce support issues.

Community members and stakeholders experience responsive, professional, and helpful program support.

REQUIRES

An accredited Bachelor’s degree; OR

an equivalent combination of qualifying education and experience to include professional experience in the development and/or operation of administrative systems, programs, policies and practice.
