Why This Role is Exciting & What Success Looks Like

As a Senior Administrative Assistant at our CPA firm, you’ll serve as a critical operational anchor, directly supporting multiple accountants and managers while ensuring the seamless execution of complex client deliverables. You will leverage your advanced knowledge of firm workflows and specialized software to anticipate needs, resolve issues independently, and keep our team running at peak efficiency.

  • Within 3 Months: You’ll seamlessly integrate into our workflow, mastering our core systems. You will begin coordinating day-to-day engagements for assigned accountants and managers, establishing yourself as a highly dependable and accurate resource.
  • Within 6 Months: You’ll take full ownership of complex client deliverables and multi-priority administrative workflows. You will confidently identify process discrepancies, manage tight deadlines effectively, and resolve routine operational issues independently before they impact leadership.
  • Within 9 Months: You’ll proactively anticipate the seasonal needs of the accounting team, streamlining engagement tracking and high-volume data workflows. You will begin suggesting and implementing practical process improvements to reduce administrative burdens across the team.
  • Within 12 Months: You’ll be recognized as a trusted, high-level operational resource and subject matter expert in firm workflows. Your sharp eye for detail, deep system knowledge, and ability to balance multiple moving parts will have measurably enhanced office efficiency and elevated our client service delivery.

Key Responsibilities & Qualifications

  • High-Level Support: Provide comprehensive administrative coordination for multiple accountants and managers, managing calendars, engagements, and complex client deliverables.
  • Workflow Mastery: Utilize and navigate specialized firm software—including Practice CS, GFR, SafeSend, and UltraTax—to track project statuses and ensure seamless document delivery.
  • Quality Assurance: Maintain a high level of accuracy while balancing competing priorities, proactively identifying discrepancies in documentation or workflows.
  • Problem Solving & Initiative: Anticipate team and client needs, resolve routine administrative issues independently, and actively suggest ways to improve internal processes.
  • Deadline Management: Serve as a dependable resource who consistently follows through on commitments and ensures critical tax and accounting deadlines are met effectively.
