Thompson Coburn, a large full-service law firm with offices in eight (8) cities across the U.S., is in search of a full-time non-exempt Senior Legal Support Operations Specialist to join its St. Louis office. Under the leadership of the Director of Legal Support Operations, this position coordinates and executes a broad range of operational, workflow, systems, reporting, and administrative functions in support of the team, in accordance with established policies and procedures. The role also provides administrative support to the Senior Manager, Practice Support Operations, and Legal Support Operations Managers to ensure efficient day-to-day operations. This position requires strong relationship management with Human Resources, attorneys, paralegals, and legal support staff, while handling sensitive employee and firm information with a high degree of confidentiality. After an initial training period, this position is eligible for a hybrid-remote work schedule.

Key Responsibilities

  • Coordinate operational workflows, reporting, systems administration, and administrative functions supporting Legal Support Operations and Practice Support Teams.
  • Administer and support legal support technology platforms, including BigHand, UKG, iManage, and other workflow and operational systems.
  • Coordinate PTO calendars, timecard monitoring, and administrative reporting for legal support staff and paralegals.
  • Assist with performance evaluation process, meeting coordination, agenda preparation, and follow-up activities.
  • Actively participates in new hire orientation for legal support staff members and provides follow-up training in the Firm’s workflow platform.
  • Prepare reports, surveys, presentations, and operational documentation for leadership initiatives and departmental projects.
  • Maintain confidentiality while supporting sensitive employee, operational, and workflow-related matters.
  • Provide administrative and project support to Legal Support Operations leadership and assist with special projects as needed.

Knowledge, Skills And Abilities Required

  • Advanced proficiency in Microsoft Word, Excel, and Outlook required.
  • Experience with legal support or workflow management systems such as BigHand, UKG, iManage, or similar platforms preferred.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Strong analytical and problem-solving skills, including the ability to interpret data and reporting.
  • Critical thinking skills to dissect data and provide reporting based on data and analytics.
  • Excellent communication and interpersonal skills with the ability to work effectively across all levels of the organization.
  • Ability to handle sensitive and confidential information with professionalism and discretion.
  • Ability to work overtime when needed.
  • Prior experience in a law firm or professional services environment preferred.

Experience And Education Qualifications

  • Associate Degree required; Bachelor’s Degree preferred.
  • Minimum five (5) years of experience in an administrative role within a law firm or professional services organization required, with experience supporting workflow automation, operational systems, legal support functions, or related administrative technologies. Less experience may be considered, in which case the position will not be designated as Senior.
