Role Description The Real Estate Administrative Assistant is an on-site role based in Lansing, MI. This position supports real estate agents, office leadership and property management by handling daily administrative tasks including managing phone calls, emails, and calendars; preparing documents and contracts; and maintaining organized digital and physical filing systems. The role includes updating listings, coordinating showings, tracking key deadlines, and assisting with client communication to ensure a smooth transaction process. The Administrative Assistant may also help with basic marketing activities, such as preparing property flyers, updating online listings, and supporting open house logistics. Collaboration with team members and consistent, professional client interactions are essential to success in this role.
This person's primary responsibilities include, but are not limited to:
- Assisting and supporting the Owner, Operations Manager, Agents and Team in all tasks and duties related to the business as a whole.
- Maintaining our shared Google 'Team Drive'
- Screening and directing phone calls; distributing correspondence
- Scheduling (Meetings, appointments, showings, inspections, etc)
- Producing postcards and mailings
- Assist Property Manager with showings, screening tenants, phone calls and inputting rental listings
- Help grow our email list by reaching out to prospective investors and clients
- Assisting and supporting our Agents with new MLS Listings & Transaction Desk (compliance and forms)
- Assisting clients and helping them to have an extraordinary experience
- Helping with day-to-day office operations (Light cleaning, organizing, inventory, etc)
- Assist with Bookkeeping (Budget tracking, expense tracking, statement uploads, etc)
- Lead Management (Organize company CRM, delegate incoming leads, etc)
- Marketing of Listings, Rentals, Business, and Team through social media and other avenues
- This team member must LOVE paperwork and checklists, be able to multitask and provide EXCELLENT customer service
