Our employees and a company culture that enables them to thrive are our primary strengths. We are currently accepting applications for our Tax Administrative Assistant position. As a key member of our support team, this position will be responsible for overseeing the processing of complex tax returns, payroll & sales tax reports, assembling monthly financial statements and property tax statements. Under the direction of the Tax Department Manager, the Tax Admin Assistant will also oversee outstanding tax due lists, type correspondence, proof reports, process engagement letters and client organizers, as well as provide support for multiple partners and accounting staff. Duties include, but are not limited to: - Provide support for multiple partners and accounting staff. - Assemble complex tax returns, financial statements, and payroll reports. - E-file tax returns and monitor status of successfully completed vs. rejected returns. - Correct rejected tax returns and if unable to, forward to tax preparer for resolution/resubmission. - Monitor pending authorization forms and place follow up calls to client for reminders - Contact clients when tax return is complete to arrange pick-up, mailing and eSignature options. - E-file 1099s and print hard copy for Tax Admin I for scanning and mailing - Monitor client due dates to ensure all work is completed in a timely manner - Manage tax project database for current statuses and periodically supplying lists and reports to CPAs. - Maintains professional license records and CPE records for accounting staff, register staff for professional education classes (CPE) and files necessary reports/certificates. - Manage supplies for tax department paper, payroll forms and envelopes, tax return folders and envelopes, labels, etc. - Monthly Billing for the Tax Department as well as Bank Deposits for the Firm. The ideal candidate will possess the following: - College degree in a relevant or closely related field preferred. - Excellent verbal and written communication skills with strong attention to detail. - Proficient in Microsoft Office Suite, general office equipment, social media management, and online research. - Ability to take initiative and accountability in managing and completing multiple tasks from start to finish with strong time management skills - Demonstrable experience using sound judgment and logical decision making under minimal supervision. - Successful track record of providing administrative support, preferably in a professional services firm. - Must have a valid California Drivers License and a reliable vehicle with adequate insurance. The position offers a competitive wage between $23 - $33 per hour with a generous employee benefits package. An Equal Opportunity Employer
