Position Overview
The Bookkeeper – Client Accounts is responsible for managing financial activity for several individual client accounts. This role focuses on high-volume transaction processing, accurate fund allocation in QuickBooks, and ensuring all accounts are properly reconciled. The Bookkeeper – Client Accounts plays a key role in maintaining financial accuracy, compliance, and organization in a detail-driven environment.
Key Responsibilities
- QuickBooks Data Entry & Allocation (60%) The Bookkeeper – Client Accounts will record and allocate monthly direct deposits across multiple client accounts, ensuring accurate tracking from a single bank account and maintaining up-to-date balances.
- Payments & Disbursements (20%) The Bookkeeper – Client Accounts will process rent checks, pay recurring bills (such as utilities), and manage weekly, biweekly, and monthly funding schedules.
- Account Reconciliation (15%) The Bookkeeper – Client Accounts will perform regular reconciliations to ensure alignment between QuickBooks and bank statements, resolving discrepancies as needed.
- Communication & Coordination (5%) The Bookkeeper – Client Accounts will collaborate with internal team members to review and process special requests, ensuring approvals are obtained and confidential information is handled appropriately.
Process & Workflow
The Bookkeeper – Client Accounts will follow structured weekly and monthly processes, including:
- Entering and allocating deposits by client in QuickBooks
- Running weekly check cycles and meeting key deadlines
- Uploading funds to client accounts on scheduled timelines
- Maintaining Excel tracking sheets for rent and expenses
- Responding to ad hoc requests from internal stakeholders
Qualifications
Required:
- Recent, hands-on QuickBooks experience in a high-volume environment
- Strong attention to detail and accuracy
- Ability to generate and interpret financial reports
- Basic Excel skills (data entry, simple formulas)
- Proficiency with Microsoft 365 tools
Preferred
- Experience in nonprofit, healthcare, or similar industries
- Familiarity with managing multiple client accounts or structured fund programs
- Exposure to compliance-driven financial processes
Work Environment
The Bookkeeper – Client Accounts will work in a professional, business-casual setting that emphasizes accuracy, confidentiality, and collaboration. Communication is primarily via email and phone with internal stakeholders.
