Work Environment: ONSITE (after completion of 90 days, eligible to work from home 2 days per month)

Job Description
The Legal Administrative Assistant Supervisor coordinates and oversees the daily workflow of legal administrative assistants in the transactional practice groups, including corporate, M&A, Tax, and Real Estate. The role ensures adherence to procedures and protocols, promotes efficiency, and delivers high‑quality support to attorneys and the legal team.
Responsibilities
- Coordinate daily workflow for transactional legal administrative assistants, monitoring the Attorney Support Portal to ensure timely assignment and completion of work.
- Review administrative processes and procedures to identify improvement opportunities and provide recommendations.
- Establish and maintain harmonious working relationships, fostering teamwork and cooperation.
- Monitor and coordinate resource materials in Teams to provide up‑to‑date information for the team.
- Conduct effective performance evaluations, share knowledge, mentor, and provide guidance to team members.
- Assist with recruiting, onboarding, and training of new team members.
- Maintain employees’ timecards, time‑off requests, and remote work requests.
Legal Administrative Assistant Duties
- Assist attorneys with preparation of legal documents and general correspondence, including editing, proofreading, and redlining contracts, agreements, and corporate filings.
- Coordinate, assemble, and organize closing materials, including closing binders.
- Draft standard correspondence and format documents.
- Coordinate and manage attorney calendars, schedule meetings, and arrange travel.
- Enter time entries for attorneys into the firm’s time‑keeping system accurately and efficiently.
- Maintain paper and electronic client and administrative files in accordance with firm procedures and the document management system.
- Perform other administrative tasks such as conflict checks, new client/matter intake, client billing, mail, and expense/reimbursement requests.
Qualifications
- Minimum 5 years of corporate/transactional legal administrative assistant experience.
- Preferred previous supervisory experience.
- Working knowledge of legal documents, formatting, table of contents, styles, and track changes.
- Ability to manage workflow and delegate assignments and projects.
- Ability to train, coach, and provide constructive feedback.
- Excellent organizational, time‑management, and follow‑up skills.
- Strong verbal and written communication skills.
- Exceptional attention to detail.
- Ability to handle multiple, competing deadlines and priorities effectively.
- Excellent interpersonal skills with a strong focus on client service.
- Ability to work effectively in a team environment.
- Proficiency in Microsoft Office Suite.
- Experience with a document management system.
