Duties

  • Manage multi-line phone systems with professionalism, providing excellent customer service and accurate information.
  • Perform data entry tasks with precision using productivity software such as Microsoft Office and Google Workspace.
  • Handle front desk responsibilities including greeting visitors, answering inquiries, and directing calls with proper phone etiquette.
  • Maintain organized filing systems, ensuring documents are accurately stored and easily accessible.
  • Support office management by scheduling appointments, calendar management, and coordinating meetings.
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping.
  • Proofread correspondence, reports, and other documents to ensure clarity and accuracy before distribution.
  • Provide general administrative support such as photocopying, faxing, and managing office supplies to keep the workspace efficient.

Experience

  • Proven clerical or administrative experience in an office setting is required; experience as a medical or dental receptionist is a plus.
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
  • Familiarity with bookkeeping software such as QuickBooks is highly desirable.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment.
  • Demonstrated customer service skills with experience handling front desk duties or customer support roles.
  • Bilingual abilities are preferred to assist diverse client needs; fluency in additional languages enhances communication.
  • Prior experience with phone systems, data entry, proofreading, filing, and calendar management will ensure success in this role.
