Administrative Assistant, Development & Fundraising

Position Overview
Greater St. Louis Area Scouting is seeking a highly organized, detail-oriented, and mission-driven Administrative Assistant to support the Council’s Development and Fundraising team. This position plays an important role in helping advance the mission of Scouting by providing administrative, donor database, campaign, grant, and event support.
The Administrative Assistant will work closely with the Chief Development Officer and development directors to ensure that donors, volunteers, board members, and community partners receive timely, professional, and thoughtful service. This is an excellent opportunity for someone who enjoys organization, communication, database work, event support, and being part of a team that raises critical resources for youth across the Greater St. Louis region.
Principal Responsibilities
- Provide administrative support to the Chief Development Officer and assigned development directors, including calendar coordination, telephone support, filing, mail processing, meeting preparation, and general office support.
- Serve as a donor database assistant, supporting gift processing, weekly acknowledgments, donor reports, data entry, and other database needs.
- Assist with Friends of Scouting campaign materials, acknowledgments, reminders, tracking, and volunteer support.
- Coordinate bi-annual recognition society mailings and support donor stewardship efforts.
- Prepare, edit, proofread, and organize correspondence, reports, presentations, fundraising materials, and other documents.
- Support grant applications and reports in partnership with development directors and grant consultants.
- Assist with special events and meetings, including invitations, vendor coordination, RSVP lists, name tags, event briefings, staffing support, and invoice processing.
- Manage development department supplies, equipment, purchase orders, and general operational needs.
- Maintain confidentiality and accuracy in all donor, volunteer, financial, and organizational records.
- Perform other duties as assigned.
- Qualifications
The ideal candidate will be dependable, organized, professional, and committed to supporting the mission of Scouting. Candidates should possess:
- High school diploma or equivalent required; associate degree or relevant administrative experience preferred.
- Strong administrative, organizational, and communication skills.
- Experience with donor databases, Raiser’s Edge, or similar CRM systems preferred.
- Proficiency with Microsoft Office, email, data entry, calendars, phones, copiers, and general office systems.
- Strong grammar, spelling, proofreading, and written communication skills.
- Ability to manage multiple tasks, meet deadlines, and remain organized amid interruptions.
- High level of integrity, confidentiality, professionalism, and attention to detail.
- Friendly and helpful attitude toward Scouts, Scouters, volunteers, donors, staff, and the public.
- Ability to read, interpret, and apply information from documents, reports, and instructions.
- Strong customer service orientation and professional telephone presence.
