Duties
- Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Maintain organized filing systems, both physical and digital, ensuring easy access to important documents
- Perform data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace
- Provide customer service by responding promptly to inquiries via phone or email, offering helpful information or redirecting as needed
- Generate accurate client invoices for completed scans, verifying counts, rates, and clinic details before anything goes out
- Verify scan totals and scan information with the lab and field technicians, resolving mismatches before billing
- Gather checks, process payments in QuickBooks, and make bank deposits
- Keep QuickBooks records clean and current
- Support the operations team with requested tasks and miscellaneous projects
Qualifications
- Proven office management or administrative experience in a professional setting
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
- Experience with QuickBooks or other bookkeeping software is highly desirable
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
- Exceptional communication skills
- Familiarity with front desk operations
- Demonstrated ability to handle confidential information discreetly while maintaining professionalism
- Personal assistant or medical/dental receptionist experience is a plus, along with technical proficiency in office equipment and productivity tools
