**Overview**
The Drake University Law School is seeking a highly organized and motivated full-time Administrative Assistant to support the Career Development Office (CDO). This role is ideal for an independent professional who can manage multiple priorities while contributing to a collaborative and service-focused office. The Administrative Assistant plays a key role in maintaining a professional, welcoming, and inclusive office, supporting employer engagement, student hiring processes, and ensuring the efficient day-to-day operation of the CDO. **Responsibilities**
- Serve as the front-facing point of contact for the office, greeting visitors, answering office phones, and monitoring the departmental email account
- Support three full-time staff members in the CDO
- Assist employers with job postings, interview scheduling, and recruiting logistics
- Manage the career services management (CSM) platform (Symplicity)
- Handle employer and student communications, events, and hiring sessions
- Maintain accurate employer records and track student outcomes data within the CSM
- Manage the CDO programming calendar and assist in planning and execution of workshops, large-scale events, and professional development workshops
- Assist in creating and managing professional social media content and marketing materials
- Coordinate the Reciprocity program with participating law schools and provide administrative support for student stipend programs and other special initiatives
- Process departmental purchases and travel reimbursements, maintain office supplies and subscriptions, and support general administrative functions
- *Qualifications**
- Strong and effective verbal and written skills to communicate with employers, students, faculty, and other staff with a high level of professionalism
- Ability to use independent judgment and discretion in carrying out job duties and taking on projects with minimal direction
- Exercise critical thinking skills and ability to multi-task with attention to detail
- Ability to work independently and collaboratively in a fast-paced environment
- Understand professional ethics and confidentiality
- Highly proficient in office software including MS Office programs and apps including Teams, Word, Excel, PowerPoint, etc. * Ability to use various forms of technology and communication such as Asana, Canva, Zoom or similar web-based programs, PDFs, and being able and willing to learn new technology systems
- A.A. degree; B.A. preferred, or an equivalent combination of education and experience
- Minimum of 1-3 years of administrative or clerical experience, ideally in a higher education or student affairs setting
