Position Overview

We are seeking a highly organized and proactive Executive Assistant to provide dual support to our General Counsel and EVP of Communications. This role sits at the center of two fast-moving, high-visibility teams — one focused on business and legal affairs, the other on media relations, reputation management, and communications strategy. The ideal candidate thrives in a confidential, high-judgment environment where discretion, precision, and anticipating needs are non-negotiable.

This person will serve as the bridge between two senior leaders, managing competing priorities, complex scheduling, and cross-functional coordination with professionalism and composure. Experience in music, entertainment, or adjacent creative industries is strongly preferred.

This is a full-time, hybrid role based in our Santa Monica office, with in-person collaboration 3 days per week and remote work 2 days per week.

Key Responsibilities

Executive Support

  • Manage complex, often-competing calendars for the General Counsel and EVP of Communications, with a strong understanding of business priorities, legal timelines, and media cycles.
  • Draft, review, and manage correspondence on behalf of both leaders, including internal memos, external communications, and follow-up on action items.
  • Prepare meeting agendas, briefing materials, and talking points as needed to capture decisions and next steps.
  • Proactively maintain daily priorities and flag scheduling conflicts, risks, or deadlines before they arise.

Legal & Communications Operations

  • Support the General Counsel with full lifecycle coordination of legal workflows, including tracking deal timelines, managing document organization, and liaising with internal teams and outside counsel as directed.
  • Support the EVP of Communications with coordination of schedules and requests, internal communications campaigns, and cross-functional publicity initiatives.
  • Support coordination between the Legal and Publicity teams and internal departments, global partners, and external stakeholders, as needed.
  • Handle sensitive, confidential information — including legal matters and media-sensitive content — with the highest level of discretion and professionalism.

Travel, Logistics & Administration

  • Coordinate all domestic and international travel, accommodations, and logistics for both executives.
  • Submit and track monthly expense reports for both executives; process invoices in coordination with Accounting.
  • Maintain well-organized, accurate digital files and support the executive office with structured materials and documentation.
  • Identify opportunities to improve operational efficiency through better systems, documentation, and tools.
  • Use productivity and AI tools (e.g., Notion, ChatGPT, Claude, Gemini) thoughtfully and appropriately — knowing when they add value and when careful, hands-on work is what the task requires.

Qualifications

  • 1–3+ years of experience supporting senior executives in a fast-paced environment; entertainment, media, or adjacent industry experience strongly preferred.
  • Proven ability to manage competing priorities across multiple stakeholders with accuracy, discretion, and composure.
  • Exceptional written and verbal communication skills, with a strong instinct for tone and professionalism.
  • Strong organizational, project management, and problem-solving skills.
  • Proactive, anticipatory approach — you solve problems before they're flagged.
  • High degree of professionalism, sound judgment, and an ability to handle confidential information with care.
  • Comfortable taking accountability, receiving feedback, and adapting quickly when priorities shift.
  • Proficiency in Google Workspace, Microsoft Office, Apple iOS, and productivity tools.
  • Thoughtful and discerning approach to AI tools and new technology — comfortable using them to support your work without over-relying on them.

It’s a bonus if you have

  • Genuine passion for music and the entertainment industry
  • Proficient in Spanish or Korean
  • Long-term interest in growing within Business & Legal, Communications or Publicity
  • Experience working in a dual-support or shared EA capacity (supporting more than one executive simultaneously)
  • Familiarity with legal terminology, contract workflows, or working alongside in-house or outside counsel
  • Experience supporting communications, PR, or publicity teams in a fast-paced media environment
  • Prior experience at a music label, talent agency, or entertainment company
