Job Title: Administrative Assistant II
Location: Salt Lake City, UT, 84104
Duration: 12+ Months
Performs standard and advanced administrative and business operations support for assigned manager(s) and teams. This role provides analytical and organizational support within the functional area and contributes to efficient office and project operations.
Key Responsibilities
- Prepare reports to support business planning, tracking, and analysis for the assigned area.
- Analyze data and recommend effective reporting methods; exercise independent judgment in selecting optimal reporting techniques.
- Process, request, and secure required permits from City, County, and UDOT agencies.
- Develop, implement, and improve office management processes and procedures.
- Support the development and coordination of project plans in collaboration with project manager(s).
- Ensure accuracy, integrity, and completeness of project status reports.
- Coordinate, schedule, and facilitate various meetings; prepare and distribute meeting agendas and minutes.
- Process expense reports, EMRs, and manage office supply ordering.
- Build and maintain strong working relationships with internal teams, customers, builders, and developers.
- Coordinate and execute special projects while maintaining confidential files and information.
- Manage vacation calendars and assist with timecard reviews and approvals.
- Participate in staff meetings and provide thorough documentation of discussions and action items.
- Other tasks as assigned.
Qualifications
- 4-7 years of relevant administrative or business operations experience.
- Strong organizational, analytical, and communication skills.
- Attention to details.
- Excellent interpersonal and team skills.
- Ability to manage multiple priorities and work independently in a fast-paced environment.
- Proven ability to handle confidential information with discretion.
