About The Role
The Groups Coordinator manages the operational backbone of Fora's group business: coordinating partner webinars and trainings, running registration and behind-the-scenes coordination for advisor intensives and retreats, and building the systems, calendars, and reporting that keep it all organized. The Coordinator also ensures advisors feel supported throughout their group bookings, triaging their questions to the right people and keeping resources current so help is always quick and accurate. Throughout, they work cross-functionally with internal teams, advisors, partners, and contractors to deliver a seamless experience across all group-related programming.
This is a highly operational, detail-oriented role ideal for someone who thrives in fast-paced environments, enjoys managing multiple moving pieces, and is excited to improve efficiency and advisor experience.
Key Responsibilities
Manage and maintain the Groups training and events calendar, ensuring accuracy, visibility, and alignment across teams.
Coordinate logistics for trainings, webinars, and events, including scheduling, materials, communications, and follow-ups.
Help oversee the advisor support experience for group bookings, triaging and coordinating with Fora's contractors, and maintaining help center articles so advisors get timely, accurate answers.
Own event registration workflows, including setup, tracking, reporting, and attendee communication.
Manage and support Cvent for registration, RFP management and reporting.
Support execution of group-focused programs, including advisor trainings, intensives, and partner activations.
Track and report on event performance, attendance, and engagement metrics.
Coordinate and manage group leads within our CRM, ensuring accurate data entry, routing, and tracking across advisor assignments.
Identify opportunities to improve workflows, systems, and processes related to group programming and operations.
Contribute to building scalable infrastructure for Fora’s growing group business.
Requirements
Bachelor’s degree in Business, Hospitality, Communications, or a related field
2-4 years of experience in operations, group events, hospitality, training coordination, or a related field
Strong organizational skills with the ability to manage multiple projects, timelines, and stakeholders simultaneously
Exceptional attention to detail and ability to execute with precision
Excellent written and verbal communication skills
Experience managing event logistics, registration systems, or training programs
Comfort working with tools such as Claude, Omni, Google Workspace, Cvent (or similar), CRM systems, and project management platforms
Ability to work independently, prioritize effectively, and keep projects moving in a fast-paced environment
Strong problem-solving mindset with a focus on improving systems and processes
Must be authorized to work in the US and based in NYC or willing to relocate, the role is in office Monday through Thursday in Tribeca
Strongly Preferred
Background in travel, hospitality, or group/event planning
Experience working with sponsors, partners, or external stakeholders
Familiarity with training or educational program coordination
Interest in group travel, meetings, and events
Compensation
