Job Description:

The Executive Office Manager will serve as the direct assistant to the Executive Director and support of the Executive/Operations team; coordinating calendars, attending meetings, recording minutes, and completing other activities as assigned and self-initiated. This position requires someone community-driven, with initiative, a positive attitude, and the readiness to be a team player. You will work with The KKAC Organization and partners to achieve conservation and wealth building goals for farmers, landowners, and youth. KKAC employees contribute work to all projects and daily work tasks. Employee responsibilities are subject to change as projects emerge, and the workload changes. The Employee agrees to carry out all duties as assigned by the Employer.

Essential Job Functions:

Executive Support

  • Manage the calendar and travel arrangements for the Executive Director and Chief of Staff
  • Screen and prioritize incoming communications and visitors, ensuring timely responses and appropriate redirection
  • Coordinate and organize meetings, conferences, and events, including logistics and materials preparation
  • Prepare and manage communications, such as phone calls, memos, emails, reports, letters, instructional documents, and other written/oral correspondences
  • Attend meetings as directed, taking accurate minutes, distributing them, and following up on action items
  • Maintain confidential files, records, and databases with utmost accuracy and discretion.
  • Build and maintain positive relationships with internal staff, clients, partners, and stakeholders
  • Act as a liaison between executives and internal/external parties, ensuring effective communication
  • Support the Board of Directors logistically by scheduling meetings, communications, and relationship building between the staff and the Board

Office Management

  • Open and close KKAC offices, including maintaining the presence and office appearance
  • Greet, assist, and direct visitors appropriately
  • Answer the KKAC main phone line and email address
  • Maintain the KKAC main calendar
  • Maintain and update KKAC personnel directory and parking assignments
  • Maintain office and technology inventory across KKAC offices with support from the Director of Operations (DOO)
  • Address and/or direct internal staff concerns to the appropriate channels (i.e., parking tickets, building issues, etc.)

Other Support

  • Acts as a customer service representative for existing and potential clients
  • Lead and support event planning including outreach meetings, retreats, staff events, etc.
  • Work with vendors to direct completion of requests and maintenance needs
  • Support departments where and as needed to move operations forward
  • Performs other duties as assigned

Pay: $45,000.00 - $50,000.00 per year
