Overview

We are seeking a dynamic and highly organized Bilingual Administrative Personal Assistant to join our team. This role is vital in providing comprehensive administrative support and ensuring smooth daily operations. The ideal candidate will excel in effective communication, accurate task completion, and managing complex schedules; all while demonstrating fluency in both English AND Haitian Creole languages. Responsibilities:

  • Provide administrative support to the President and office staff
  • Assist with project coordination and relevant document preparation and management.
  • Perform general clerical duties such as filing, scanning, and composing written and verbal correspondence via phone calls and emails.
  • Implement and maintain general office cleanliness and organization.
  • Utilize desktop and online softwares to manage and update office records and databases; data entry and clerical procedures.
  • Schedule appointments and maintain calendars
  • Coordinate travel arrangements and event planning, such as; hotel stays, rental cars, catering, no etc.

Mandatory Qualifications:

(Please do not apply if you do not meet any one of the following criteria.)

  • A fluent speaker and writer of Haitian Creole and English
  • A valid driver license, reliable form of transportation
  • Hardworking and self-motivated
  • Ability to prioritize tasks and work independently, with minimal supervision, and with a team
  • Strong computer literacy, including proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Suite (Gmail, Docs, Sheets, Drive)
  • Organizational and time management skills
  • Attention to detail for proofreading documents and ensuring accuracy in all tasks; ability to transcribe accurately when needed.
  • Strong verbal and written communication skills
  • Creative and able assist the team with brain-storming and implementing best practices

Bonus Qualifications:

  • Familiarity with QuickBooks Online (basic bookkeeping)
  • Familiarity with using AI software to draft correspondence, digital artwork, etc.
  • Experience using video conferencing software such as Zoom or Microsoft Teams; familiarity with DocuSign for electronic signatures.
  • Previous experience in an administrative/data entry role
  • Experience and/or knowledge of residential real estate /property management

You will play a crucial role in supporting the daily operation of our office. You will be responsible for the execution of the President’s various administrative tasks and maintaining timely and professional correspondence within the office and between other division offices. This position requires strong organizational skills, attention to detail, healthy/effective communication skills and the ability to prioritize and follow through with all tasks.

Pay: $18.00 - $20.00 per hour
