Position: Administrative Assistant
Location: Honolulu, HI
Pay: $29 to $30/hour
Experience/Education: High School Diploma with a minimum of 5 years prior administrative or general office, clerical, or related experience. Bachelor’s Degree may substitute for 2 years’ experience.
Type: Full-time; Direct Hire
Schedule: Monday - Friday, 8:00am to 5:00pm
Kahu Malama Nurses is seeking an Administrative Assistant to join a growing and dynamic team!
Job Description
- Manages FAD leader calendars, resolves conflicts with appointments and conferences; and assures that leaders are fully briefed and prepared prior to scheduled engagements.
- Coordinates scheduling calls between administrative assistants for meeting requests from FAD leaders.
- Schedules annual recurring meetings each year (FSD Dept meetings, IBNR, Quarterly OMS, etc.)
- Updates payment memos and timesheet/invoice templates as needed.
- Coordinates any mass communications that need to be distributed to Affiliated Physicians/Clinicians.
- Supports physician/clinician data management-related functions such as entering demographic information of Affiliated Physicians/Clinicians in the database, physician/clinician outreach, data entry, etc.
- Prepares monthly and quarterly invoices for various services provided by HPMG accurately.
- Sends invoices to clients in a timely manner and follows up on payment status as necessary.
- Sends out monthly Accounts Receivable Aging reports to management.
- Reviews and submits monthly bills for payment and filters monthly billing report (terminates devices for inactive employees, checks for duplicate devices, etc.).
- Collects monthly C-Card statements and follows up with cardholders who do not submit by the 10th of each month.
Position Requirements
- Demonstrated knowledge of and skill in MS Office programs (Word, Excel, PowerPoint, Outlook, Teams).
- Previous experience as an accounting clerk is desired, but not required.
- Excellent interpersonal and professional communication skills.
- Must be able to handle multiple priorities in a timely and professional manner.
- Requires strong attention to detail and excellent organizational skills.
- Must be able to be work onsite and travel to other facilities to support meetings and department operations.
