Job Summary
The Billing & Coding Receptionist serves as the liaison between the clinical team, front office, and Revenue Cycle Department. This position is responsible for ensuring patient information, insurance, coding, and billing documentation are accurate and complete before claims are processed. The Billing & Coding Receptionist supports daily front office operations, assists with patient scheduling and registration, reviews documentation for billing readiness, and helps reduce claim denials through accurate data collection and communication.
This position requires exceptional attention to detail, excellent customer service, and a working knowledge of medical terminology, CPT, ICD-10, insurance verification, and electronic medical records (eCW).
Duties
- Greet patients professionally and courteously.
- Verify patient demographics at each visit.
- Answer incoming telephone calls and route messages appropriately. Needs to have knowledge on how to answer any billing and account questions when patinets call in for their account balance.
- Maintain patient confidentiality in accordance with HIPAA regulations.
- Review patient encounters for billing completeness.
- Verify insurance information before claims are submitted.
- Ensure required documentation has been completed.
- Review claims for missing demographic or insurance information.
- Communicate billing discrepancies to providers and billing staff.
- Assist with correcting rejected or returned claims.
- Document billing-related notes within eCW.
- Verify active insurance coverage when needed.
- Confirm patient eligibility and benefits.
- Identify referral and prior authorization requirements.
- Document insurance verification findings in eCW.
- Notify the Revenue Cycle team of insurance discrepancies.
- Assist the billing department with daily work queues.
- Monitor outstanding documentation required for claim submission.
- Communicate with providers regarding incomplete charts.
- Assist with charge review and reconciliation.
- Help reduce billing delays and insurance denials.
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer literacy with technical proficiency in office productivity software
- Excellent organizational skills with the ability to prioritize tasks effectively
- Experience with multi-line phone systems and phone etiquette to handle high call volumes professionally
- Bilingual abilities are a plus for serving diverse clients and team members effectively
- Previous office or administrative experience, including front desk or medical/dental receptionist roles
- Exceptional data entry skills with high accuracy and attention to detail
- Strong customer service orientation combined with effective communication skills
- Ability to manage time efficiently while juggling multiple responsibilities in a fast-paced environment
- Knowledge of medical terminology.
- Basic understanding of CPT, ICD-10-CM, and HCPCS coding.
- Knowledge of medical insurance plans and payer guidelines.
- Experience with electronic medical records (preferably eClinicalWorks).
- Strong organizational skills.
- Excellent written and verbal communication.
- Ability to multitask in a fast-paced medical office.
- High level of professionalism and attention to detail.
Minimum Qualifications
- Minimum of one year of medical office experience.
- Basic knowledge of medical billing and coding.
- Computer proficiency, including Microsoft Office.
Preferred
- Certified Professional Coder (CPC) or willingness to obtain certification.
- Experience with eClinicalWorks (eCW).
- Experience with oral surgery, dental, or specialty medical practices.
- Previous experience in insurance verification or medical billing.
- Minimum of one year of medical office experience.
- Basic knowledge of medical billing and coding.
- Computer proficiency, including Microsoft Office.
Pay: Up to $12.00 per hour
