Duties
- Greet visitors, clients, and staff with professionalism and warmth at the front desk, managing multi-line phone systems with excellent phone etiquette.
- Answer, screen, and direct incoming calls efficiently, providing prompt assistance or routing calls to appropriate personnel.
- Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Office applications.
- Perform data entry, maintain filing systems, and ensure accurate record keeping for administrative documents.
- Support office management tasks such as ordering supplies, organizing files, and maintaining cleanliness of common areas.
- Assist with bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking.
- Provide customer support by addressing inquiries both in person and via email, ensuring a positive experience for all visitors and clients.
Requirements
- Proven office experience with strong clerical skills including filing, data entry, proofreading, and document management.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
- Strong computer literacy with familiarity in office management software such as QuickBooks or similar programs.
- Bilingual abilities are highly desirable to assist diverse clientele and team members.
- Previous experience as a receptionist or administrative assistant in medical or dental offices is a plus.
- Exceptional customer service skills paired with professional phone etiquette and a friendly demeanor.
- Ability to handle multi-line phone systems confidently while maintaining composure under pressure.
- Personal assistant or calendar management experience is advantageous for supporting executive needs.
