A prestigious plaintiff personal injury law firm located in the Houston area is seeking an Executive Assistant/Paralegal to the Managing Partner. This firm offers an outstanding work culture and paid parking. Candidates must have at least 5+ years of legal secretary experience in a personal injury law firm based in Texas.

Calendar & Schedule Management

  • Manage an active and complex calendar, including court appearances, depositions, client meetings, and business development events.
  • Coordinate schedules with clients, opposing counsel, and court personnel.
  • Proactively adjust appointments and prioritize urgent matters as they arise.
  • Monitor case deadlines and court schedules to ensure timely compliance and avoid conflicts.

Case Intake & Referral Coordination

  • Act as the primary point of contact for referral attorneys and potential new cases.
  • Conduct preliminary evaluations of new case inquiries based on firm criteria.
  • Oversee intake processes including conflict checks and initial client interviews.
  • Maintain detailed records of referral sources, case outcomes, and follow-up actions.
  • Communicate case decisions (acceptance or declination) in a timely and professional manner.

Client Relations

  • Serve as a trusted liaison between clients and the Managing Partner.
  • Manage client communications with professionalism, empathy, and discretion.
  • Coordinate client meetings, consultations, and intake procedures.
  • Ensure client confidentiality is maintained in all communications and documentation.

Administrative & Legal Support

  • Draft and edit correspondence, legal documents, reports, and presentations.
  • Maintain organized and up-to-date electronic and physical filing systems.
  • Arrange complex travel itineraries and manage expense reporting.
  • Assist with billing, invoicing, and confidential firm operations.
