The Maids of San Diego is a professional residential cleaning company committed to delivering exceptional customer service and quality cleaning experiences. We are seeking an organized, customer-focused, and bilingual Office Manager & Scheduling Coordinator to support our daily operations and help ensure an outstanding experience for both customers and employees.

Position Summary

The Office Manager & Scheduling Coordinator is responsible for managing customer communications, maintaining the daily schedule, coordinating with sales and field teams, and supporting office operations. This role serves as the central hub between customers, cleaning teams, sales staff, and management to ensure smooth day-to-day operations.

Key Responsibilities

Customer Service & Scheduling

  • Answer incoming customer service calls, emails, and text messages.
  • Assist customers with scheduling changes, service requests, and general inquiries.
  • Maintain and update the daily scheduling board.
  • Coordinate with the Sales team to add, modify, or remove customer appointments.
  • Communicate schedule updates to field teams and management.
  • Monitor customer concerns and help ensure timely resolution.
  • Confirm appointments and communicate arrival windows with customers as needed.

Operations Support

  • Assist with daily operational coordination and route management.
  • Support team leaders and field staff with scheduling and operational needs.
  • Track and maintain operational records and documentation.
  • Help ensure efficient utilization of teams, vehicles, and equipment.
  • Coordinate company vehicle maintenance and service appointments.

Administrative & Office Support

  • Prepare payroll information and maintain payroll spreadsheets in Excel.
  • Maintain employee records and office documentation.
  • Assist with onboarding paperwork and HR-related administrative tasks.
  • Order office supplies and coordinate office maintenance needs.
  • Assist management with reporting and administrative projects.

Qualifications

  • Bilingual in English and Spanish (required).
  • Strong customer service and communication skills.
  • Highly organized with strong attention to detail.
  • Proficient with Microsoft Excel, Outlook, and general office software.
  • Ability to multitask and manage competing priorities.
  • Experience in customer service, scheduling, dispatching, office administration, or operations support preferred.
  • Comfortable working in a fast-paced service environment.

Preferred Qualifications

  • Experience in a residential cleaning, home services, or field-service business.
  • Experience with employee scheduling and dispatching.
  • Experience with payroll administration and HR support.

Schedule

  • Full-Time
  • Monday–Friday (Occasionally requires remote work on Saturday/Sunday )
  • In-office position in San Diego, CA

Compensation

Reports To

Owner / Operations Manager

The ideal candidate is organized, proactive, customer-focused, and enjoys coordinating schedules, solving problems, and supporting a growing service business.

Pay: $20.00 - $27.00 per hour
