POSITION: Ticketing & Box Office Manager

STATUS: Full Time, exempt

REPORTS TO: Director of Ticketing

LOCATION: Berkeley (main headquarters during office hours) + various venues around the Bay Area covering shows

Position Overview:

The Box Office Manager is responsible for building, managing, and executing ticketing operations for Another Planet Entertainment (APE) shows across multiple venues, focusing on but not limited to The Castro Theatre and Bill Graham Civic Auditorium. This role requires expertise in Ticketmaster (Host and TM1), strong organizational skills, and the ability to oversee box office operations during events. The ideal candidate has 3-4 years of box office management experience and thrives in a fast-paced live entertainment environment.

Duties/ Responsibilities:

Event Build & Ticketing Management

  • Build and manage shows in Ticketmaster (TM) or TicketWeb (TW) from confirmation through event day and post show settlement.
  • Manage ticket holds and ensure timely payment for ticket buys.
  • Update events as needed (pricing, inventory, on-sale times) throughout the sales cycle.
  • Oversee Guesttix internal ticketing system, including event setup, link distribution, order processing, and ticket fulfillment.

Financial & Settlement Duties

  • Compile and distribute daily ticket counts in collaboration with other ticketing managers.
  • Manage ticket count inbox, responding to agency requests and setting up auto-counts as needed.
  • Complete box office settlements for all managed shows within 24 hours of the event.
  • Submit box office staff payroll promptly after each show.

Box Office Operations & Customer Service

  • Oversee venue box office setups for festivals and one-off events, including:
  • Submitting asset requests
  • Coordinating with ticketing providers, operations, production, and vendors.
  • Maintain box office supply inventory (ticket stock, envelopes, labels, etc.).
  • Manage internal box office inboxes, handling ticket requests, customer service issues, and general inquiries.
  • Liaise with Ticketmaster & other platforms to ensure auxiliary event equipment (scanners, will-call setups) is in place for show nights.

Show Duties:

  • Work various APE shows (fluctuates anywhere from 1-15 shows per month depending on show schedule) & festivals
  • Manage onsite box office staff
  • Resolve customer issues and manage patron inquiries
  • Maintain a clean and well organized box office workspace for patrons and staff.
  • Available by phone after hours for questions and emergencies for shows managing
  • Responsible for all cash that comes into and goes out of the box office. As most venues are cashless, there will be minimal cash flow needs.

Qualifications:

  • At least 3-4 years of relevant box office supervision & managerial experience preferably in the music industry.
  • Ticketmaster (TM1, Sales & Host).
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Suite (Drive, Docs, Sheets, Slides).
  • Adobe Cloud Platforms preferred.

Skills / Experience:

  • Knowledge of the music industry and passion for live music.
  • Must have the ability to work in very busy and high stress situations while maintaining grace and composure.
  • Excellent organizational, research, and project management skills.
  • Ability to work both independently and as part of a team.
  • Ability to work with minimal supervision.
  • Exceptional communication skills and a professional, fun, friendly attitude
  • Must be extremely flexible to work long hours, nights, weekends and holidays

Compensation & Benefits Package:

  • SALARY: $75,000 - $82,500 (commensurate with experience)
