About the Role Our client, a high-performing real estate team in Grand Rapids, Michigan , is seeking an exceptionally organized and proactive Real Estate Transaction Coordinator . This crucial role ensures the smooth and efficient execution of real estate transactions from contract to closing. The ideal candidate will be meticulous, detail-oriented, and adept at managing multiple deadlines in a fast-paced environment. You will serve as the central point of contact for agents, clients, and other parties involved in the transaction, ensuring all paperwork is completed accurately and timely. Key Responsibilities Manage the entire transaction process from accepted offer to closing, ensuring all deadlines are met. Prepare and review all necessary transaction documents, including purchase agreements, disclosures, and closing statements. Coordinate with real estate agents, buyers, sellers, lenders, appraisers, inspectors, and title companies to facilitate the transaction process. Maintain organized and up-to-date electronic and physical transaction files. Schedule and coordinate inspections, appraisals, and closing appointments. Communicate regularly with clients and agents, providing updates on transaction status. Address and resolve any issues or challenges that arise during the transaction process in a timely manner. Ensure compliance with all local, state, and federal real estate regulations and brokerage policies. Assist agents with administrative tasks related to their transactions. Keep current with real estate laws and best practices for transaction management in the Grand Rapids, Michigan area. Requirements Previous experience as a Real Estate Transaction Coordinator, Real Estate Assistant, or in a similar administrative role within the real estate industry. Strong understanding of the real estate transaction process and related documentation. Exceptional organizational skills and meticulous attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and real estate transaction management software (e.g., Dotloop, SkySlope). Excellent written and verbal communication skills. Ability to multitask, prioritize, and manage time effectively in a high-volume environment. Professional demeanor and strong interpersonal skills. Proactive problem-solving abilities.
