POSITION OVERVIEW
The primary responsibility of the On-Site Property Manager is to oversee the daily operations of assigned multifamily properties to ensure strong financial performance, high resident satisfaction, and compliance with company standards.
This role is accountable for maintaining 96% or higher occupancy, delinquency at or below 2%, operating within approved budgets, and ensuring consistent execution of leasing, maintenance, and resident communication standards. Success in this role requires disciplined follow-through, proactive problem solving, and effective leadership of on-site staff.
KEY RESULTS
The On-Site Property Manager is expected to consistently achieve the following results:
- Maintain minimum 96% physical occupancy across assigned properties
- Maintain delinquency at or below 2% of monthly rent
- Ensure properties operate within approved budgets and report variances
- Execute timely lease renewals and minimize vacancy days
- Maintain accurate rent rolls, files, and documentation in AppFolio
- Deliver a professional, well-maintained property and positive resident experience
PRIMARY RESPONSIBILITIES
Property Operations & Oversight
- Manage the day-to-day operations of apartment up to 200 units across multiple properties
- Maintain consistent on-site presence and oversee property appearance, cleanliness, and safety
- Conduct weekly common area inspections and annual unit inspections
- Ensure compliance with Fair Housing laws, landlord-tenant regulations, and company policies
Leasing, Occupancy & Retention
- Advertise vacancies and ensure units are listed within required timelines
- Conduct showings, screen applicants, complete leases, and process move-ins
- Coordinate and execute lease renewals in accordance with budgeted increases and timelines
- Implement resident retention initiatives to reduce turnover and vacancy loss
Delinquency & Rent Management
- Monitor rent collections and delinquency daily
- Follow company rent collection and notice procedures consistently and legally
- Communicate with residents regarding balances and payment expectations
- Escalate delinquency issues to the Portfolio Manager as required
Financial & Budget Awareness
- Operate properties in alignment with approved annual budgets
- Track expenses, submit invoices, and monitor budget variances
- Provide monthly budget comparison narratives to the Portfolio Manager
- Maintain accurate rent rolls and financial records
Maintenance & Vendor Coordination
- Coordinate work orders, unit turns, and preventative maintenance
- Supervise on-site maintenance staff and vendors
- Ensure maintenance issues are addressed promptly and documented properly
- Assist with bid coordination and oversight of approved repairs and projects
Staff Supervision & Leadership
- Supervise and support assigned on-site team members
- Ensure staff follow company procedures, safety standards, and documentation requirements
- Provide direction, feedback, and escalation to Portfolio Manager when needed
Owner & Resident Communication
- Communicate professionally with residents regarding questions, concerns, and notices
- Assist the Portfolio Manager with owner communication related to property status, projects, vacancies, and improvements
- Ensure all communications are logged and documented in AppFolio
Documentation & Compliance
- Ensure all leases, notices, inspections, photos, and communications are properly uploaded in AppFolio
- Maintain audit-ready resident and property files
- Follow all company documentation and reporting standards
AS-NEEDED RESPONSIBILITIES
- Attend required meetings and training sessions
- Assist with onboarding new properties or staff
- Support special projects and operational initiatives as assigned
POSITION QUALIFICATIONS
- Must have previous experience managing multifamily properties.
- 2–5 years of multifamily property management experience preferred
- Experience managing on-site staff strongly preferred
- Familiarity with leasing, renewals, unit turns, and delinquency processes
- AppFolio experience strongly preferred
- Strong organizational, communication, and follow-up skills
- Ability to work independently while adhering to structured procedures
POSITION DETAILS
This is a full-time, on-site position.
Hours are 8:30 am to 5 pm Tuesday through Saturday.
Pay: $28.00 per hour
