The UB School of Pharmacy and Pharmaceutical Sciences is looking for a highly organized and detail-oriented Administrative Assistant to manage the operational and administrative aspects of our pharmacy practice research program. This role plays an important part in ensuring successful program implementation across different studies, supporting program leadership, and fostering strong partnership with key stakeholders. The Administrative Assistant will work closely with faculty investigators and research staff to coordinate grant administration, regulatory compliance, and day-to-day operations across a portfolio of studies.
Job Duties:
- Coordinate daily operations of pharmacy research programs and keep projects on track
- Serve as the liaison between research leadership team, pharmacies, and key partners
- Organize and facilitate regular program meetings including preparing and distributing agendas, taking minutes, and providing progress updates.
- Oversee IRB documentation, track program activities, and ensure quality and compliance
- Produce professional written communication including reports, summaries and program materials for internal and external audiences.
- Help manage budget, track expenditures, and support reporting to funders.

Minimum Qualifications
- 3 or more years of progressively responsible office experience or Associate degree with 1 year experience
- An equivalent combination of education and experience will be considered
Preferred Qualifications
Bachelor’s or Masters degree in relevant field such as public health. Strong organizational skills, attention to detail, and ability to manage multiple priorities and deadlines. Experience with research or community-based programs.

Salary Range
$50,000 - $55,000 at 1.00 FTE
