Roles & Responsibilities

  • Coordinate and facilitate vendor visits and maintenance schedules.
  • Monitor and convert work requests into work orders in CMMS systems.
  • Update and maintain asset management databases and vendor documentation records.
  • Prepare reports, spreadsheets, and presentations for leadership review.
  • Draft communications and coordinate with vendors, subcontractors, and internal teams.
  • Maintain accurate records and documentation in compliance with company policies.
  • Support technicians with asset tracking and movement activities.
  • Handle multiple administrative tasks while maintaining confidentiality.
  • Assist with additional departmental projects and operational support tasks.

Experience Required

  • Minimum 3 years of recent administrative experience supporting senior management or operations teams.
  • Experience working in fast-paced environments with shifting priorities.
  • Experience handling confidential and sensitive information professionally.
  • Experience using CMMS platforms such as Maximo, BMRAM, or similar systems preferred.

Eligibilities & qualifications

  • High School Diploma, GED, or equivalent required.
  • Associate degree preferred.

  • Ability to work independently and manage multiple priorities efficiently.
  • Strong organizational and problem-solving abilities.
