Overview We are seeking a professional, detail-oriented, and highly organized Receptionist to join our team at a well-established financial advisory firm. This front-desk role is pivotal to the success of our daily operations and client experience. The ideal candidate will be personable, efficient, and proactive, with excellent multitasking skills and a strong sense of discretion and professionalism.

Responsibilities Administrative & Office Support

Greet clients and visitors with warmth, professionalism, and discretion

Manage multiple calendars for advisors and staff, including scheduling and confirming client meetings and internal appointments

Answer multi-line phones, check voicemails, and relay detailed messages promptly and accurately

Check, sort, and distribute incoming and outgoing mail daily

Perform digital and physical filing to maintain organized client and firm records

Pull client statements, reports, and other documentation to prepare for meetings

Process client distribution requests according to firm procedures and regulatory standards

Office Maintenance & Supplies

Maintain a clean, tidy, and professional office appearance by wiping down surfaces, restocking supplies, and performing light cleaning as needed

Monitor and restock office and kitchen supplies regularly

Qualifications Previous experience in a receptionist, administrative assistant, or office coordinator role; experience in a financial services environment preferred

Exceptional verbal and written communication skills

Strong organizational skills and attention to detail

Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and comfort with financial CRM or database systems

Ability to manage multiple priorities and meet deadlines in a fast-paced, professional setting

High level of integrity and confidentiality when handling sensitive client information

Preferred Skills Familiarity with financial statements and client-facing financial documents

Experience with scheduling software and calendar management tools

Comfort working in a regulated, compliance-driven industry
