WHAT YOU WILL BE RESPONSIBLE FOR

Efficient facilities management: You ensure the smooth daily operation of the office, coordinate cleaning and maintenance, monitor supplies, and manage relationships with landlords and building service providers.

Proactive vendor coordination: You act as the primary contact for external suppliers, monitor service quality, coordinate deliveries, and swiftly resolve operational issues when necessary.

Smooth logistics handling: You coordinate the receipt and dispatch of office goods, samples, and business shipments while resolving any issues related to delayed or damaged deliveries.

Heartfelt employee support: You serve as the first point of contact for office requests, support onboarding activities, and coordinate visitor management alongside internal team events.

Local IT coordination: You connect our Madrid office with the central IT teams in Germany, coordinating hardware requests, equipment replacements, and technical support for new joiners.

Travel administrative assistance: You support employees with travel bookings on our approved platforms and assist them with questions regarding travel and expense management tools.

WHAT WE ARE LOOKING FOR

Your Educational Background: You have completed a commercial education, a business administration qualification, or bring equivalent professional experience that provides You with a solid foundation in operational business management.

Your Strengths: You possess strong organizational and coordination skills, a service-oriented mindset, and an excellent attention to detail. You love taking ownership, manage multiple priorities simultaneously, and bring a highly practical, solution-oriented approach to daily challenges.

Your profile: You bring 3-5 years of experience in office or facilities management, where You successfully managed external suppliers, handled workplace logistics, and coordinated office IT equipment. You are proficient in Microsoft Office, thrive in an international environment, and communicate fluently in Spanish and English (German is a plus).
