Position Summary

The Administrative Assistant/Dispatcher serves as a key point of contact for members, contractors, and visitors

while providing administrative support to the Office Manager, Business Manager, and office staff. This position is

responsible for answering and directing incoming phone calls, coordinating member dispatches, maintaining

accurate records, assisting with daily office operations, and delivering professional customer service. The ideal

candidate is organized, detail-oriented, bilingual in English and Spanish, and able to manage multiple priorities in a

fast-paced environment.

Essential Duties and Responsibilities

  • Coordinate the dispatch of members to employers in accordance with established dispatch procedures and applicable policies.
  • Maintain accurate dispatch logs, referral records, and member information.
  • Verify member qualifications, certifications, and availability prior to dispatch, and communicate job assignments and reporting instructions.
  • Answer and direct incoming phone calls, greet visitors, and provide professional customer service.
  • Prepare correspondence, reports, maintain filing systems, process incoming forms, and perform accurate data entry.
  • Assist members with inquiries regarding dues, dispatch procedures, training opportunities, and benefits.
  • Maintain confidentiality of sensitive information while supporting daily office operations, special projects, and other duties as assigned.
  • Process payments accurately and maintain appropriate documentation.

Required Qualifications

  • Must be fluent in both English and Spanish.
  • High school diploma or equivalent.
  • Minimum of two (2) years of administrative, customer service, dispatch, or office experience.
  • Strong computer proficiency in Microsoft products.
  • Excellent organizational, time management, and customer service skills.
  • Strong attention to detail and accuracy.
  • Ability to work independently while contributing as part of a team.

Compensation & Benefits

Starting Wage: $30.00 per hour
