JOB TITLE: Administrative Assistant – Adult Program
PROGRAM: Director of Adult Programs & Services
HOURS/STATUS: Full-Time/Non-Exempt
RATE: $20-$27/hour
JOB SUMMARY
Provide overall administrative support to the Director of the Adult Program and to the adult program staff.
ESSENTIAL DUTIES AND RESPONSIBILITIES
•
Composes routine letters and memoranda; assist with mass mailings for the Adult Program, Respite, and Article 16 Clinic as requested.
•
Reviews correspondence/reports prepared by others for the Director's signature for procedural and typographical accuracy.
•
Provides typing, copying, filing, and other secretarial support to the Adult Program, Article 16 Clinic, and Respite staff as needed.
•
Manages daily attendance of all people supported in the adult program; works with transportation vendors to ensure all rides are scheduled/cancelled.
•
Works with the Adult Program Director on compiling and maintaining Adult Program Policy & Procedures manual.
•
Maintains and updates the information for the Adult Program roster and software program, School Tool.
•
Establishes, maintains, and revises individual charts and administrative files; maintains auxiliary files.
•
Accesses the state database to locate current documents to keep records compliant.
•
Acts as liaison to care coordinators for needed documents for Respite & Adult programs.
•
Assists with chart-auditing paperwork and the follow-up needed.
•
Oversees the intake tracker for potential enrollees and mails out necessary paperwork for enrollment.
•
Maintains day-to-day operations of the Adult Program office.
•
Provides back-up for switchboard operations (including receiving visitors) at the front desk as requested.
•
Demonstrates sensitivity to and respect for the diverse cultural backgrounds and practices of the students, staff and families of the School of the Holy Childhood.

Performs other duties as assigned.
QUALIFICATIONS
Candidate must have the ability to interact with the public and with employees in a professional, respectful, confidential, and helpful way. This person should exhibit excellent oral and written communication skills and the ability to follow directions and exercise good judgment. A working knowledge of software such as Microsoft Office, School Tool, survey Monkey, Adobe Pro and the ability to meet deadlines is a requirement. To perform this job successfully, an individual
must be able to perform each essential duty satisfactorily. Candidates for this position will have: the ability to demonstrate and provide examples of continuous personal development and improvement; communication skills (verbal and written); problem solving skill; strong organizational skills and the ability to effectively manage multiple tasks/projects.
EDUCATION AND/OR EXPERIENCE
Minimum of a high school diploma and four years business or similar office experience.
