This is a unique opportunity to help launch a new location. You’ll play an essential role in creating a welcoming experience for clients while ensuring the office runs smoothly each day. If you enjoy variety, solving problems, taking ownership, and building processes, we’d love to meet you.

Position Summary:

The Office & Client Experience Coordinator serves as the first impression of our Tulsa office. This person will greet clients, coordinate daily office operations, support attorneys and staff, and ensure the office is professional, organized, and welcoming.

During the early stages of our Tulsa expansion, this role will be broad and hands-on. As the office grows, responsibilities will evolve, allowing the position to become more specialized. It is a full-time, in-person role.

Key Responsibilities:

Client Experience

  • Welcome clients and visitors with professionalism and warmth
  • Create an exceptional first impression for every guest
  • Answer and route warm transfer calls from our Oklahoma City office
  • Assist walk-in clients and ensure they are connected with the appropriate team member
  • Maintain a clean, organized, and inviting reception area

Office Operations

  • Receive, sort, and distribute incoming mail and deliveries
  • Coordinate outgoing mail and courier services
  • Manage office supply inventory and place orders
  • Coordinate with vendors, building management, and service providers
  • Schedule and oversee cleaning services
  • Report and coordinate repairs for office equipment and technology
  • Assist with conference room scheduling and office logistics

Facility Management

  • Coordinate office access, keys, badges, and security procedures
  • Coordinate alarm system administration
  • Serve as the primary liaison with building management
  • Help ensure the office remains safe, functional, and professional

Administrative Support

  • Provide administrative support to attorneys and legal staff as needed
  • Assist with document preparation, scanning, and filing
  • Help coordinate meetings and special events
  • Support onboarding of new Tulsa team members
  • Pitch in wherever needed to help the office succeed

  • Positive, outgoing personality with exceptional customer service skills
  • Professional appearance and excellent communication skills
  • Highly organized with strong attention to detail
  • Self-starter who enjoys taking ownership and solving problems
  • Comfortable balancing multiple priorities throughout the day
  • Strong computer skills, including Microsoft Office and general office technology
  • Ability to work independently while staying closely connected with our Oklahoma City team

Preferred Qualifications:

  • Experience in office management, executive support, client service, hospitality, healthcare, or legal administration
  • Experience coordinating vendors and office operations
  • Experience working in a professional office environment
  • Legal experience is helpful but not required. We are happy to train the right candidate
