The Role:
The HR Systems Analyst is responsible for the effective administration, support, and continuous improvement of HR systems and related workflows. This role serves as a key partner across HR Operations and other business functions by owning system administration, reporting, troubleshooting, testing, documentation, and process optimization. The Analyst operates with more independence than the Coordinator role and is expected to diagnose issues, recommend improvements, and help scale efficient, compliant, and user-friendly processes.
This role sits within the HR Operations team and works closely alongside Operations Specialists and Managers to improve how work gets done across the function. UKG is the primary HRIS for this role, and Greenhouse serves as the applicant tracking system. The ideal candidate is deeply systems focused while also understanding the day-to-day realities of HR Operations well enough to recommend practical, scalable improvements.
Responsibilities:
Serve as a primary analyst and subject matter expert for HR systems, with a strong focus on UKG as the primary HRIS and Greenhouse as the applicant tracking system
Own day-to-day HR systems administration, including employee changes, data maintenance, workflow support, troubleshooting, configuration updates, system permissions, routine maintenance, and testing within established governance
Support reporting, data integrity, and audit activities by building and validating recurring and ad hoc reports, maintaining deep UKG BI reporting knowledge, and conducting audits and reconciliations across HR systems and connected processes
Support file feeds, integrations, bulk uploads, and recurring system activities tied to annual compensation cycles and other people programs
Help administer and improve FreshService as the HR Operations ticketing system, while providing timely and thoughtful support to employees and internal stakeholders on system troubleshooting and process questions
Support administration and reporting for compliance and learning processes, including annual anti-harassment training in Docebo, while expanding systems support over time to additional platforms such as Quantum
Develop and maintain SOPs, process guides, troubleshooting steps, FAQs, and knowledge base content so processes are documented, scalable, and not dependent on one individual
Identify and implement process, system, and automation improvements that reduce manual work, improve the employee experience, and help the HR Operations team scale
Lead or support the team’s adoption of AI by identifying practical use cases, creating agents or automations, and embedding scalable solutions into team workflows
Partner closely with HR Operations Specialists and Managers, as well as cross-functional teams including IT, Payroll, Finance, Legal, HRBPs, Total Rewards, and Talent Acquisition, to resolve issues, improve workflows, and support scalable execution
Bring forward new ideas, manage competing priorities and projects with clear milestones, monitor system releases and best practices, and support ad hoc reporting, audits, and operational initiatives based on team priorities
Qualifications:
3–5 years of experience in HR systems, HR operations, or people analytics, preferably in a fast-paced global environment
Hands-on experience administering HR systems and supporting employee lifecycle processes in a business environment
Strong understanding of employee lifecycle processes and how HR systems support them
Experience with reporting, BI reporting, data validation, audits, reconciliations, and issue resolution
Experience supporting integrations, file feeds, bulk uploads, and practical system or workflow improvements
Strong analytical, organizational, and problem-solving skills, with proficiency in spreadsheets …
