Position Summary
We are seeking a detail-oriented and experienced Payroll Tax Specialist to manage and ensure compliance with all federal, state, and local payroll tax regulations. This role is responsible for accurate tax calculations, timely filings, reconciliation of payroll tax accounts, and resolution of tax-related issues. The ideal candidate has strong analytical skills, deep knowledge of multi-state payroll tax compliance, and experience in high-volume payroll environments such as a PEO or payroll service provider.
Key Responsibilities
- Prepare, review, and file federal, state, and local payroll tax returns (e.g., Forms 941, 940, state unemployment, and local filings)
- Ensure timely and accurate payroll tax deposits in accordance with regulatory requirements
- Reconcile payroll tax liabilities to the general ledger and payroll system on a periodic basis
- Research and resolve payroll tax discrepancies, notices, and audits from taxing authorities (IRS, state agencies, etc.)
- Monitor changes in payroll tax laws and ensure compliance across all jurisdictions
- Manage multi-state payroll tax registrations and account setups
- Maintain accurate records of tax filings, payments, and correspondence
- Support internal and external audits by providing payroll tax documentation and analysis
- Collaborate with payroll, accounting, and HR teams to ensure accurate employee tax setup and withholding
- Assist with year-end processes including W-2 preparation and reconciliation
- Identify opportunities for process improvement and automation within payroll tax operations
Qualifications
- Bachelor’s degree in Accounting, Finance, or related field (or equivalent experience)
- 3–5+ years of payroll tax experience, preferably in a PEO, payroll service provider, or multi-state environment
- Strong knowledge of federal, state, and local payroll tax regulations
- Experience with payroll systems (e.g., ADP, Paychex, UKG, Prism, etc.)
- Proficiency in Microsoft Excel (pivot tables, reconciliations, data analysis)
- Experience handling IRS/state tax notices and audits
- High level of accuracy, attention to detail, and organizational skills
- Ability to manage multiple deadlines in a fast-paced environment
Preferred Qualifications
- Certified Payroll Professional (CPP) designation
- Enrolled Agent Designation
- Experience with PEO platforms (e.g., PrismHR)
- Knowledge of SUTA, FUTA, and multi-jurisdictional tax compliance strategies
- Experience with tax credits (e.g., ERTC) and amended filings (941-X)
