About Us

We are a boutique commercial real estate law firm that specializes in providing loan closing opinion letters for large commercial real estate financing transactions. This position requires availability to work Monday through Friday, 9:00 a.m. to 5:00 p.m. Pacific Time.

Position Summary

We are seeking a highly organized, dependable, and proactive Administrative Assistant to join our team. This role is essential to the day-to-day operations of our firm and will provide administrative support to the Office Manager, Finance Manager, attorneys, and staff.

The ideal candidate enjoys staying organized, takes initiative, and is always willing to jump in wherever help is needed. This is a great opportunity for someone who thrives in a fast-paced, collaborative office and enjoys wearing multiple hats.

Key Responsibilities

  • Provide administrative support to the Office Manager and Finance Manager.
  • Work with Finance Manger to: prepare, process, and track client invoices and assist with billing-related tasks.
  • Be available to support team members with day-to-day administrative needs and special projects.
  • Coordinate administrative tasks for attorneys and staff as requested.
  • Handle incoming and outgoing mail, FedEx, UPS, and courier shipments.
  • Answer and direct phone calls and assist with general office communications.
  • Maintain office supplies and coordinate orders as needed.
  • Assist with document organization, filing, scanning, and electronic records management.
  • Schedule meetings and assist with calendar coordination when needed.
  • Help maintain an organized, efficient, and professional office environment.
  • Perform other administrative duties as assigned.

Qualifications

  • Minimum of 1 year of administrative or office support experience (professional services or law firm experience is a plus).
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat.
  • Excellent organizational skills with exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Positive attitude with a willingness to help wherever needed.
  • Professional demeanor and ability to handle confidential information.
  • Self-motivated, dependable, and able to work both independently and collaboratively.
  • Experience with invoicing or billing is preferred but not required.
