The Client Services Coordinator plays a critical role within Global Media Operations (GMO), acting as a central liaison between NBCUniversal brands, internal post-production teams, and cross-functional partners. This position ensures the seamless execution of marketing and post-production services by coordinating projects from intake through delivery.

This role is responsible for managing client requests, aligning resources, and maintaining strong communication across stakeholders to ensure projects are delivered on time, on budget, and to the highest quality standards. The ideal candidate is highly organized, solutions-oriented, and thrives in a fast-paced, collaborative environment.

Key Responsibilities:

Partner with department leaders to plan and schedule editorial, audio, and color correction resources.

Manage all project assignments and resource bookings within ScheduALL.

Serve as a key point of contact in client meetings, gathering requirements and ensuring alignment on deliverables.

Collaborate with Client Services leadership to evaluate project scope, resource needs, and financial impact.

Build and maintain production schedules, timelines, and resource calendars.

Track project progress, reconcile daily work orders, and maintain pacing documents.

Generate and analyze reporting (ScheduALL, Tableau) to monitor resource utilization, project hours, and budget performance.

Provide operational and administrative support to Post-Production Management.

Troubleshoot workflow and system issues within the OTTO application; escalate as needed.

Coordinate time-off tracking for post-production staff to support workforce planning.

Maintain a strong understanding of post-production workflows and identify opportunities for process improvements.

Develop and maintain Standard Operating Procedures (SOPs) for workflows and systems.

Support Client Services team members with coordination, reporting, and client communications.

Deliver exceptional service to clients across multiple locations and time zones.

Requirements/Qualifications:

1+ year of experience in a post-production, media operations, or client services environment

Proven ability to manage multiple projects and priorities independently in a deadline-driven environment

Strong communication and interpersonal skills, with the ability to interact across all levels, including senior leadership

Preferred Qualifications:

Bachelor’s degree

Hands-on experience with ScheduALL for scheduling and resource management

Prior experience supporting post-production or media operations teams within a large organization

Exposure to resource scheduling, budgeting, or financial tracking

Experience working in a fast-paced, client-facing environment

Highly organized with exceptional attention to detail

Adaptable and comfortable navigating shifting priorities and workflows

Proficiency in Microsoft Office (Excel, Outlook, PowerPoint, Word)

Ability to learn systems quickly and train others

Knowledge of post-production tools, editing, and audio workflows

Familiarity with tools such as ScheduALL, Slack, and Airtable

Positive attitude with a collaborative, solutions-oriented approach

Willingness to work a flexible schedule, including occasional overtime or weekends

Hybrid: This position currently has a hybrid schedule, which requires contributing from the office a minimum of four days per week. The Company reserves the right to change in-office requirements at any time.
