Summary:

Jet OUT is seeking a highly motivated and detail-oriented Lead Flight Dispatcher to join our growing team. Jet OUT offers an innovative co-ownership platform that makes private aviation more accessible and efficient for business and personal travelers. By utilizing over 5,000 regional airports, we ensure our owners reach their destinations precisely when needed, minimizing costs and maximizing productivity. Our success is evident in our significant growth over the past few years, and we are now looking for additional leaders. This position reports directly to the Director of Dispatch.

This document outlines the specific duties and expectations for Dispatch Lead. As a team lead, you are responsible for guiding operational execution, monitoring flight safety and logistics, and supporting your fellow dispatchers through oversight, troubleshooting, and cross-functional alignment.

Leadership & Oversight

  • Flight Operations Authority: Serve as the on-shift operational lead for all in-progress and upcoming Jet OUT flights. Address any urgent issues or escalations regarding airspace, aircraft readiness, weather, or crew needs.
  • Team Guidance: Support dispatchers with task distribution, scheduling challenges, and procedural clarification. Provide real-time feedback and correct procedural gaps.
  • Support Onboarding: Coaching and development of Dispatch team members in accordance with Jet OUT training standards.
  • Clear Communication: Maintain consistent communication across shifts, regional bases and operational team.
  • Operational Readiness Check: At shift start, ensure all high-priority and time-sensitive items have been reviewed and delegated appropriately.
  • Handoff Coordination: Ensure all incomplete or pending items are summarized in a clear and comprehensive handoff report. Personally confirm major updates (e.g. tail swaps, delays, IROPS) are communicated to Concierge and Crew Scheduling.

Communication & Coordination

  • Primary Liaison Role: Act as the dispatch point of contact for Concierge, Sales, OCC, and other departments needing operational updates, feasibility assessments, or real-time flight coordination, handling squawks appropriately, etc…
  • Cross-Team Alignment: Lead communication for complex trip coordination (international flights, reroutes, AOG recovery, etc.)—ensuring shared understanding across departments.
  • G-Chat Oversight: Monitor all ongoing crew chats for completeness and address any unanswered pilot concerns or missed flight updates.

Flight Integrity & Documentation

  • Flight Plan QA: Review dispatcher flight plans before release to ensure accuracy in routing, weather impacts, weight and balance, and contingency planning.
  • Post-Flight Review: Check that all post-flight reports have been submitted and completed correctly. Follow up with crews on discrepancies or missing documentation.
  • International Oversight: Personally verify the completion and filing of all required permits, handling requests, and customs arrangements for international legs.

Training & Support

  • New Dispatcher Guidance: Provide hands-on assistance to newer dispatchers during route planning, flight releases, and irregular operations events. Encourage questions and walk through procedures as needed.
  • Standard Operating Procedure Enforcement: Monitor team adherence to company guidelines and operational protocols. Address any inconsistencies in task execution or documentation.
  • Team Culture: Contribute to a team culture built on accountability, consistency, fairness, and professional development.
  • Empowerment: Promotes a culture of empowerment by encouraging team members to take ownership, make sound decisions, and contribute ideas that support continuous improvement, safety and operational excellence.
  • Ongoing Education: Promote the use of internal dispatch resources and encourage knowledge sharing, particularly during high-pressure events or operational irregularities. Advise the senior OCC leadership of current policy or document issues and provide potential solutions.

Proactive Operations Management

  • Schedule Monitoring: Analyze the operational schedule to identify areas of risk or opportunity. Coordinate with Sales and Maintenance to proactively adjust routing or aircraft assignments.
  • Dispatch Coverage: Provide coverage as needed, including morning and evening shifts, staffing gaps, high-volume periods, and time-sensitive operational situations. Proactively preparing for and managing irregular operations.
  • Flight Disruption Mitigation: Take lead on reroutes, mechanical issues, weather delays, and other disruptions, ensuring timely coordination with all relevant parties.
  • FBO & Vendor Communication: Ensure all FBOs and service providers have confirmed arrangements for upcoming flights. Personally verify FBO acknowledgment on any flagged or high-profile trips.
