We are looking for a detail-oriented Dispatcher to support service coordination and customer communication for a Long-term Contract position in Tukwila, Washington. This role focuses on organizing technician schedules, responding to changing service needs, and ensuring appointments are handled accurately across multiple service lines. The ideal candidate brings strong customer service skills, sound judgment in a fast-paced environment, and the ability to keep scheduling operations running smoothly.

Responsibilities:

  • Coordinate technician assignments for installation, fire alarm and detection, sprinkler, inspection, monitoring, and service-related work.
  • Manage daily scheduling activities by arranging appointments, confirming availability, and maintaining calendars for a team of 10 to 12 technicians.
  • Handle a high volume of customer and internal calls, collecting accurate service details and adjusting appointments as priorities shift.
  • Respond to urgent scheduling conflicts such as emergencies, delays, and call-outs by redistributing work and updating customers promptly.
  • Track recurring service visits, including weekly, monthly, and biannual appointments, to support timely job completion.
  • Review completion records each day to verify work was properly documented and follow up on missing or inaccurate information.
  • Maintain customer account information by creating, updating, and organizing service records with attention to detail.
  • Support compliance and reporting activities by checking that assigned teams complete required work within expected timeframes.
  • Use scheduling and service management tools such as Tigris, Service Trade, and Great Plains to maintain accurate operational records.
  • Experience in dispatching, scheduling, or service coordination within a fast-paced support environment.
  • Strong customer service skills with the ability to communicate clearly and professionally by phone and through scheduling updates.
  • Ability to manage frequent interruptions, shifting priorities, and last-minute changes while maintaining accuracy.
  • Comfortable handling a high daily call volume and documenting customer information thoroughly.
  • Strong attention to detail when reviewing reports, tracking job progress, and maintaining calendar accuracy.
  • Proficiency with computer-based dispatching, scheduling, or service management systems.
  • Ability to coordinate logistics for multiple technicians and ensure service commitments are met on time.
