Position Summary

We are seeking a friendly, dependable, and detail-oriented individual to join our front office team. As the first point of contact for our patients, you will help create a warm and welcoming experience while supporting the administrative tasks that keep our clinic running smoothly.

This position is ideal for someone who enjoys helping others, communicates well with the public, is comfortable using computers, and takes pride in being organized and accurate.

We are looking for someone who is reliable, compassionate, detail-oriented, and able to maintain a calm, professional demeanor while working with individuals receiving mental health care.

Schedule

This is a part-time position with a flexible schedule that varies based on clinic needs.

Typical scheduled hours are about 12-18 hours/week and include:

  • Monday–Wednesday: approximately 2:30 PM to 4:30–5:00 PM
  • Thursday: 8:00 AM–5:00 PM, as needed
  • Friday: 8:00 AM–5:00 PM, as needed (many weeks we are closed Friday or only work a half day on Friday)

Because this is a small medical office, we cover for each other. There are recurring needs for additional front desk coverage outside of the regular schedule, sometimes on short notice. On average, this occurs about every few weeks depending on clinic staffing needs. Flexibility and reliability are important for this role.

While the position currently offers limited hours, there may be opportunities for additional hours in the future as our practice continues to grow.

Responsibilities

  • Greet and assist patients in a professional and welcoming manner
  • Manage patient check-in and check-out processes
  • Schedule appointments and maintain provider calendars
  • Answer incoming phone calls and respond to patient inquiries
  • Verify insurance benefits and assist with billing-related questions
  • Maintain accurate patient records while protecting patient confidentiality
  • Help ensure a positive experience for every patient who interacts with our office

QualificationsRequired

  • At least 18 years of age
  • Strong attention to detail and organizational skills
  • Excellent customer service and communication skills
  • Comfortable using computers and learning new software programs
  • Ability to handle confidential information with professionalism and discretion
  • Dependable, punctual, and able to work independently
  • Comfortable talking with people both in person and on the phone
  • Looking for someone who can continue working past the summer

Preferred but Not Required

  • Previous experience in a medical office, mental health clinic, or customer service role
  • Experience with scheduling, insurance verification, and/or medical records
