Role Description
Signal Edge Solutions is seeking a highly organized, detail-oriented Part-Time Administrative Assistant / Office Manager to support day-to-day business operations and provide direct administrative support to leadership. This hybrid role includes remote work with occasional in-person responsibilities and is ideal for someone who is proactive, trustworthy, and comfortable handling confidential information.
This role will provide administrative support to the Chief Executive Officer (CEO), including managing communications, scheduling, invoicing, and general administrative tasks to ensure smooth and efficient daily operations.
Key Responsibilities:
Executive & Administrative Support
- Assist the CEO with professional email management and correspondence
- Schedule and coordinate meetings, calls, and appointments
- Sort, review, and organize incoming mail (digital and physical)
- Manage calendars and ensure schedules are accurate and well-coordinated
Office Management & Operations
- Organize and maintain digital and physical business records
- Draft, proofread, and format professional documents and correspondence
- Support office organization and administrative workflows
- Handle general administrative and ad hoc support tasks as needed
- Manage daily shipments for SES products and equipment, with FedEx and UPS.
Invoicing & Business Administration
- Prepare and send invoices
- Track invoice status and follow up as needed
- Assist with expense tracking and administrative financial coordination
- Support accounts payable and accounts receivable processes
Vendor & Client Coordination
- Coordinate with vendors, contractors, and service providers
- Assist with client onboarding documentation and administrative needs
- Maintain client records while ensuring confidentiality of sensitive information
Qualifications
Required
- 2+ years of experience in an administrative assistant, office manager, or similar role
- Strong organizational, time management, and prioritization skills
- Excellent written and verbal communication skills
- High level of discretion, professionalism, and reliability
- Proficiency with Microsoft Office, Google Workspace, and common business tools
- Ability to work independently with minimal supervision
Preferred
- Experience supporting executives or business owners
- Familiarity with invoicing and basic bookkeeping tasks
- Experience in a small business or consulting environment
- Comfort working in a hybrid role
