Our client, the U.S.’s largest commercial real estate services firm, is seeking an experienced Property Management Assistant to support a portfolio of Class A commercial office properties in San Diego, CA. This 3-month contract role is ideal for an administrative professional with a strong Accounts Payable background who enjoys working in a fast-paced property management environment. You'll play a key role supporting vendor management, invoice processing, contract administration, and financial operations while working alongside an experienced property management team. Schedule is Monday-Friday, 8:00 AM-5:00 PM.
Typical Day in the Role
- Process, review, and code vendor invoices for multiple commercial properties.
- Set up new vendors and maintain accurate vendor records and documentation.
- Support contract preparation, execution, and tracking.
- Audit invoices to verify accuracy and confirm payments have been processed.
- Maintain vendor management spreadsheets and compliance documentation.
- Communicate with vendors regarding invoices, contracts, and payment inquiries.
- Review financial data for accuracy across multiple systems.
- Assist with operational reporting and administrative projects.
- Coordinate with security personnel and internal teams as needed.
- Support day-to-day operations for a portfolio of three commercial office properties.
Required Qualifications
- High school diploma or GED required; Associate degree preferred.
- 5+ years of Accounts Payable or related administrative experience.
- Experience processing, reviewing, and coding vendor invoices.
- Strong written and verbal communication skills, particularly via email.
- Excellent organizational skills with strong attention to detail.
- Ability to prioritize multiple responsibilities in a fast-paced environment.
- Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
- Professional communication skills and the ability to work collaboratively with vendors and internal teams.
Preferred Qualifications
- Commercial property management experience.
- Experience working with vendor management and contract administration.
- Experience using Yardi and/or MRI property management software.
- Customer service experience within a commercial real estate environment.
- Experience auditing invoices and maintaining financial records.
Pay: $20.00 - $21.10 per hour
