Overview: Oak Hill Management is currently seeking a Commercial Property Manager to oversee several Class A commercial properties in Charlotte, North Carolina. The portfolio encompasses approximately 420,000 square feet of commercial office space. The Property Manager will be responsible for all aspects of day-to-day property operations, including tenant relations, leasing support, maintenance coordination, vendor management, capital projects, financial reporting, and property performance.

The Property Manager serves as the primary point of contact for tenants and vendors, ensuring a high level of customer service while maintaining the physical and financial integrity of the assets. This position works closely with Asset

Management to support budgeting, reporting, occupancy goals, and overall portfolio objectives.

This is a FULL-TIME salaried position and is based in Charlotte, NC.

Specific Duties and Responsibilities:

  • Generate, assign, and follow up on work orders, ensuring satisfactory issue resolution.
  • Follow-up with the tenant(s) to verify satisfactory resolution of any issues.
  • Provide new tenants with welcome/introduction letters including emergency contacts, insurance requirements,

rent collection and maintenance procedures.

  • Coordinate tenant move-ins and move-outs, including inspections and key distribution.
  • Conduct monthly tenant space inspections and ensure compliance with lease agreements.
  • Conduct periodic inspections of the property and tenant spaces to confirm compliance with leases and the proper

upkeep of the property.

  • Work with leasing brokers and asset managers for walkthroughs, lease renewals, and expirations.
  • Ensure 24-hour emergency coverage is in place for all properties.
  • Obtain quotes and supervise construction and maintenance projects.
  • Maintain marketing materials and perform property tours for prospective tenants.
  • Send floor plans and proposals to and perform property tours for prospective tenants in all property locations.
  • Ensure lease files and property records (physical and digital) are up-to-date and compliant.
  • Ensure that property, floor plan and lease files are properly maintained and kept up to date in accordance with

company policy.

  • Manage accounts receivable, including rent collection, late fee enforcement, and default procedures.
  • Assist with company accounting (ie., Accounts Receivables/Payables).
  • Maintain COIs, financial statements, and lease documents in AppFolio.
  • Coordinate entry of all property information into company software programs and establish reporting protocols for maintenance requests, preventative maintenance, vendor and tenant Certificates of Insurance and key lease

date tracking.

  • Proficient with AppFolio property management software and other company platforms.
  • Assist in the production of monthly and annual property reports.
  • Support the development of annual budgets and monthly reporting with the Asset Manager.
  • Provide weekly status updates to the Asset Manager.
  • Coordinate and maintain service contracts (e.g., janitorial, pest control, elevator).
  • Work with vendors to ensure contract terms are met; create inspection and compliance checklists.
  • Maintain updated vendor files, including COIs, and track vendor performance.
  • Participate in the annual vendor bid and contract renewal process.
  • Schedule and track required inspections (e.g., elevator, fire alarms, backflow).
  • Maintain office clerical, filing and record keeping systems.
  • Maintain online and physical marketing materials for available properties.
  • Collaborate closely with administrative support staff to ensure smooth operations.
  • Make recommendations for improving company standards, protocols, and communication strategies (e.g., inclement weather, tenant notifications).
  • Take initiative on special projects and support company growth and efficiency.

Education and Experience Requirements:

  • Minimum of 2–3 years of commercial property management experience required.
  • Leadership or management experience preferred.
  • Experience with tenant relations, lease administration, budgeting, and vendor management.
  • Strong working knowledge of AppFolio and Google Workspace (G-Suite) preferred.
  • Ability to tour and lease vacant suites and storage units.
  • Excellent communication, customer service, and interpersonal skills.
  • Ability to effectively communicate both verbally and in writing with tenants, vendors, brokers, and team members.…
