Office Manager — ABA Therapy Clinic — East San Diego
United ABA is a new in-home ABA therapy company launching in East San Diego County this fall. We serve children with autism, ADHD, developmental delays and behavioral challenges. We accept Anthem, Cigna, Aetna and Tricare. We are looking for an experienced Office Manager to run the day to day operations of our growing practice.
This is a ground floor opportunity to build something meaningful in East San Diego. You will be the operational backbone of United ABA — keeping everything running smoothly so our clinical team can focus on helping families.
WHAT YOU WILL DO:
Manage day to day office operations and administrative functions. Coordinate RBT schedules across all five service zones in East San Diego. Handle all incoming patient inquiries and route to appropriate team members. Liaise with our billing company on claims submissions, denials and prior authorizations. Verify insurance benefits for all new patients before intake. Coordinate with BCBA Clinical Director on client scheduling and staff assignments. Manage employee onboarding paperwork, background checks and HR documentation. Process payroll through our HR system biweekly. Maintain all patient files and records in CentralReach practice management software. Handle parent communications and appointment reminders. Track key performance metrics weekly and report to owner. Manage office supplies, vendor relationships and general administration. Ensure HIPAA compliance across all communications and documentation.
WHO YOU ARE:
You have experience managing a healthcare or medical office. You understand insurance verification and prior authorization processes. You are extremely organized, detail oriented and can manage multiple priorities simultaneously. You thrive in a fast paced startup environment. You are a problem solver who handles issues before they escalate. You communicate clearly and professionally with clinical staff, parents and insurance companies. Experience with ABA therapy, behavioral health or pediatric healthcare strongly preferred. Experience with CentralReach or similar practice management software a plus. Bilingual Spanish a strong plus.
REQUIREMENTS:
Three or more years experience in healthcare office management. Strong knowledge of insurance verification, prior authorization and billing coordination. Experience with electronic health records and practice management software. Excellent organizational and communication skills. Valid CA drivers license. Proficient in Microsoft Office and Google Workspace.
COMPENSATION:
$50,000 base salary. Full benefits package. Mileage reimbursement $0.67 per mile when required. Ground floor opportunity with room to grow into Operations Director as company expands.
