Responsibilities
- Serve as the first point of contact at the front desk, greeting visitors and tenants with professionalism and warmth
- Manage multi-line phone systems, directing calls efficiently and courteously while maintaining excellent phone etiquette
- Handle incoming inquiries via phone or email, providing accurate information or escalating issues as needed
- Maintain organized filing systems for lease agreements, maintenance records, invoices, and other essential documents
- Perform data entry tasks using Microsoft Office Suite and Google Workspace to update tenant records, schedules, and reports
- Assist with bookkeeping activities using QuickBooks for rent collections, vendor payments, and expense tracking
- Support office management tasks such as calendar management, appointment scheduling, and coordinating maintenance or inspections
Requirements
- Proven experience in office management, clerical work, or administrative support within property management or related fields
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Familiarity with QuickBooks or similar bookkeeping software is highly desirable
- Excellent organizational skills with keen attention to detail; ability to prioritize tasks effectively
- Bilingual abilities are a plus to assist diverse tenant populations
- Experience with multi-line phone systems and providing exceptional customer support over the phone and in person
- Strong typing skills along with proofreading capabilities to ensure accuracy in all communications
- Personal assistant experience or calendar management skills preferred to coordinate appointments efficiently
- Demonstrated professionalism in phone etiquette and customer service interactions
