Role Description This is a full-time, on-site Medical Office Assistant role based in Tulsa, OK. The Medical Office Assistant will support daily clinic operations by greeting and checking in patients, managing phone calls, and handling appointment scheduling. Responsibilities include verifying insurance information, collecting and updating patient demographics, and ensuring accurate entry of data into electronic systems. The role also involves assisting with medical records, preparing basic documents and forms, and coordinating communication between patients and clinical staff. The Medical Office Assistant contributes to a welcoming, organized, and efficient office environment while maintaining confidentiality and professional standards, assisting patients with lifestyle medicine and health therapies.

Qualifications

  • Strong phone etiquette and professional communication skills with patients, caregivers, and healthcare team members.
  • Proficiency in appointment scheduling and managing calendars, including follow-ups and cancellations.
  • Basic knowledge of medical terminology and comfort working in a healthcare setting.
  • Experience with insurance verification and understanding of patient eligibility and coverage.
  • Administrative assistance skills, including data entry, document preparation, and organizing patient records.
  • High attention to detail, reliability, and ability to manage multiple tasks in a fast-paced environment.
  • Familiarity with electronic health records (EHR) or practice management software is preferred.
  • Commitment to maintaining patient confidentiality and following HIPAA and clinic policies.
  • Training or certifications in medical office administration are an asset.
