Duties

  • Greet visitors warmly at the front desk, providing excellent customer service and maintaining a professional demeanor.
  • Manage multi-line phone systems, answer inquiries promptly, and direct calls appropriately using proper phone etiquette.
  • Schedule appointments efficiently using calendar management tools and coordinate with healthcare providers to optimize daily workflows.
  • Perform data entry and maintain accurate patient records using electronic health record (EHR) systems, ensuring confidentiality and compliance.
  • Organize files, process paperwork, proofread documents for accuracy, and ensure all administrative materials are up-to-date.
  • Support office management by overseeing supply inventory, maintaining cleanliness of the reception area, and assisting with clerical duties such as filing and document organization.

Requirements

  • Proven office experience with strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
  • Experience with multi-line phone systems, data entry, filing, and general clerical tasks.
  • Excellent customer service skills with professional phone etiquette and interpersonal communication abilities.
  • Ability to manage calendars efficiently and prioritize tasks effectively in a busy healthcare environment.
  • Bilingual capabilities are preferred to support diverse patient needs.
