Job Overview
We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This vital role combines leadership, coordination, and communication skills to support team productivity and maintain an efficient workplace. As an Office Manager, you will be the central point of contact for staff, clients, and visitors, ensuring all administrative tasks are handled with professionalism and precision.
Duties
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing exceptional customer service.
- Oversee office supplies inventory, procurement, and filing systems to maintain organization and efficiency.
- Coordinate calendar management, scheduling appointments, meetings, and conference room bookings using tools like Google Workspace and Microsoft Office.
- Handle data entry, bookkeeping tasks using QuickBooks, and perform basic clerical duties such as proofreading documents and maintaining accurate records.
- Support administrative functions such as scanning, document preparation, proofing correspondence, and managing incoming/outgoing mail.
- Assist with bookkeeping responsibilities including invoicing, expense tracking, and financial recordkeeping.
- Provide support in office management tasks such as implementing policies, supervising office staff or receptionists (including dental receptionist duties), and ensuring adherence to office procedures.
- Maintain excellent phone etiquette while managing multi-line phone systems to direct calls efficiently and professionally.
- Offer customer support by addressing inquiries promptly and courteously via phone or email.
- Facilitate smooth communication between departments by organization, managing schedules, and supporting personal assistant activities when needed.
Experience
- Proven experience in office management & administrative roles with a strong background in dental clerical work and customer service.
- Demonstrated proficiency with computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry platforms like QuickBooks.
- Experience handling multi-line phone systems and front desk responsibilities in a fast-paced environment.
- Bilingual abilities are highly desirable to effectively communicate with diverse clients or team members.
- Prior experience in dental reception is a plus; familiarity with calendar management for appointments is essential.
- Strong organizational skills with the ability to multitask efficiently while maintaining attention to detail.
- Excellent phone etiquette combined with professional communication skills for customer support roles.

Pay: $27.51 - $33.13 per hour
