What You’ll Do (Responsibilities)
- Manage customer billing and maintain accurate financial records.
- Process and monitor accounts receivable and accounts payable transactions.
- Administer payroll, employee benefits, payroll taxes, and all required payroll and tax reporting.
- Download, organize, and distribute project plans, specifications, and bid documents.
- Prepare and issue subcontract agreements, purchase orders, change orders, and other project-related documentation.
- Compile, track, and submit project-specific submittals and supporting documentation.
- Maintain project files and assist with contract administration throughout the project lifecycle.
- Coordinate with project managers, vendors, subcontractors, and customers to ensure timely processing of project documentation.
- Support daily office operations and provide administrative assistance as needed.
What We Look For (Qualifications)
- Experience: Minimum of 3–5 years in construction, mechanical contracting, plumbing, or HVAC office management.
- Industry Knowledge: Firm understanding of commercial construction billing, subcontracts, and progressive project scheduling.
- Software Skills: Proficiency with accounting platforms (Sage/Peachtree).
- Communication: Exceptional verbal and written professionalism tailored for corporate facility managers and general contractors.
- Education: High school diploma required; Associate’s or Bachelor’s degree in Business Administration or accounting is highly preferred.
Pay: $48,000.00 - $60,000.00 per year
