We are seeking a highly organized and proactive Specialist I, Executive Operations to support the Executive Assistant (EA) to the Chief Product Officer (CPO). This role is responsible for driving day-to-day administrative execution, coordinating logistics, and ensuring alignment with executive priorities to enable seamless operations in a fast-paced environment.
Key Responsibilities
Provide administrative and operational support in partnership with the EA to the CPO, ensuring alignment with executive priorities
Manage complex calendars, scheduling, and meeting logistics with a high degree of accuracy
Coordinate domestic and international travel, including detailed itineraries and logistics
Prepare and process expense reports accurately and in a timely manner
Support execution of leadership meetings, team activities, and on-site events
Draft, format, and maintain presentations, reports, and executive-level documents
Serve as a coordination point across teams to ensure alignment on administrative and operational activities
Handle ad hoc requests with a proactive, solutions-oriented approach
Maintain organized systems, documentation, and standardized processes to improve efficiency
Handle sensitive and confidential information with discretion and professionalism
Qualifications
Bachelor’s degree
3+ years of administrative or operations experience, preferably supporting executives or senior leadership
Experience working in partnership with an Executive Assistant or within a team-based support model
Strong proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word)
Experience managing complex travel and expense reporting
Familiarity with SAP or similar systems is a plus
Excellent written and verbal communication skills
Strong organizational and prioritization skills with high attention to detail
Ability to manage multiple priorities in a fast-paced environment
Strong interpersonal skills with a service-oriented, collaborative mindset
Proven ability to handle confidential information with discretion
