Job Title: Production Planning & Scheduling Administrative Assistant

Pay: $19.00 - $24.00 per hour DOE

Schedule: Monday-Friday | 8:00 AM - 4:30 PM

Job Type: Full-Time | Temp-to-Hire

Production Planning & Scheduling Administrative Assistant – Must-Have Requirements

  • High School Diploma or GED required
  • Proficient in Microsoft Excel and Microsoft Outlook
  • Strong computer, data entry, and administrative skills
  • Excellent organizational and time management skills
  • Ability to manage multiple priorities and meet deadlines
  • Strong attention to detail and accuracy
  • Basic math skills
  • Ability to accurately read part numbers, revisions, and quantities

Production Planning & Scheduling Administrative Assistant – Position Summary

We are seeking a detail-oriented Production Planning & Scheduling Administrative Assistant to support production scheduling, materials planning, shipping coordination, and customer delivery tracking within a manufacturing environment. This position plays a key role in maintaining accurate schedules, monitoring production flow, updating ERP systems, and ensuring effective communication between Production, Purchasing, Quality, Shipping, and Customer Service departments.

Production Planning & Scheduling Administrative Assistant – Essential Duties & Responsibilities

  • Assist with maintaining production schedules and customer delivery schedules
  • Support material planning activities and monitor material availability
  • Track jobs, materials, and components throughout the manufacturing process
  • Coordinate shipping schedules and shipment tracking
  • Update and maintain ERP systems, production reports, and spreadsheets
  • Monitor production priorities, schedule changes, and job status updates
  • Generate and distribute scheduling, production, and shipping reports
  • Maintain organized records, documentation, and quality files
  • Perform data entry, document control, and filing activities
  • Assist with inventory administration and transaction verification
  • Support customer delivery tracking and schedule management
  • Communicate with internal departments regarding production status and scheduling needs
  • Provide administrative support to management and office personnel
  • Assist with special projects and additional duties as assigned

Production Planning & Scheduling Administrative Assistant – Additional Qualifications

  • Previous experience in administrative support, production planning, scheduling, logistics, manufacturing, inventory control, or customer service preferred
  • Manufacturing industry experience strongly preferred
  • Experience using ERP or MRP systems is a plus
  • Associate degree or related education is a plus
  • Ability to read blueprints, Bills of Material (BOMs), and shop travelers preferred
  • Strong problem-solving and analytical skills
  • Ability to learn new systems and processes quickly
  • Professional communication skills and positive attitude

Production Planning & Scheduling Administrative Assistant – Physical Requirements

  • Ability to sit, stand, and walk throughout office and production areas
  • Ability to occasionally lift and carry up to 25 pounds
  • Ability to work at a computer for extended periods
  • Ability to maintain focus and accuracy in a fast-paced environment
