Title: Office Manager

Reports to: President of Junior League of Miami, Inc.

Location: In-Office Position Located in Coral Gables, FL

Part Time: Approximately 20-30 Hours Weekly; Hours may vary; typical hours of operation are 9:00 AM -5:00 PM, although some support may be required during nights and weekends.

Position Overview: The Office Manager is an administrative position and is responsible for helping Junior League of Miami (“JLM”) fulfill its mission and purpose.

Responsibilities and Essential Functions:

  • Answers phone, mail, and email inquiries, escalating information to appropriate parties as needed.
  • Assist JLM volunteers with mailings, communications, major copying jobs, and other administrative needs.
  • Enter data into the membership databases.
  • Work on special projects, as assigned by the President and EVP.
  • Assist with meeting set-up and post-event clean up both at JLM Headquarters and at outside venues.
  • Communicates necessary repairs, maintenance, and organization to the Junior League of Miami Board of Directors and Junior League of Miami Headquarters President and Board of Directors
  • With approval from President, coordinates and executes all necessary tasks pertaining to upkeep of JLM Headquarters such as scheduling of repairs or obtaining quotes from vendors
  • Maintain and order office inventory and supplies at HQ
  • Work with Bookkeeper to provide invoices for postage, merchandise sales, and other expenses and revenues.
  • Perform duties as scheduled
  • Ensure functionality and easy connection to various hardware/technology: screens, projectors, wi-fi, remote screen sharing

Required Skills and Competencies:

  • Maintains a professional demeanor and possesses excellent communication skills, with a strong customer service orientation.

  • Commitment to JLM mission and values statement
  • Consistently completes tasks dependably and with a high standard of quality
  • Proficient in Google Suite and/or Microsoft Suite.
  • Ability and willingness to ask clarifying questions.
  • Demonstrates strong listening skills.
  • Flexibility and adaptability executing varied tasks, often at short notice.
  • Ability to work independently within procedures or as part of a team.
  • Ability to work evenings or weekends from time to time.
  • Must have reliable transportation.

Required Qualifications:

  • Fluent in written and spoken English, proficiency in Spanish is a plus.
  • Must be authorized to work in the USA
  • Associate degree or 2 years’ previous experience as office manager, administrative assistant, or receptionist.
  • Must possess a valid drivers license.
  • Previous nonprofit experience preferred.

Job Type:

  • In-Office Position.
  • Non-exempt, hourly position
  • Schedule will be set upon hiring and may vary from week-to-week.

Pay: $22.00 - $25.00 per hour
